Where furniture hire goes wrong

Long hires are easy to lose track of

A sofa hired “for three months” is still out in month seven. Without a live list of what is out and for how long, long hires quietly stop earning.

Pieces come back separately

An office returns desks in two lots; a home-staging job keeps the sofa and returns the lamps. Each piece should be charged for its own time, not for the whole job.

Condition disputes

Marks, tears and breakages on return lead to arguments about what was there before. Recording damage at return, with the date and the replacement cost, gives you something to point to.

Monthly maths

Part-months, minimum hire periods and a deposit: working that out for every return by hand is where invoices go wrong.

Monthly, weekly or daily rates

Price each piece per month, week or day. Every started 30 days is charged as a full month, and you can set a minimum hire period.

Returns piece by piece

Record each return when it happens. Every batch is billed from the day it went out to the day it came back.

Damage and loss on the record

Mark pieces damaged or lost at return, with replacement cost pre-filled from the item. Written-off pieces leave your available stock.

An invoice that is current to today

For items still out, the invoice is calculated up to today, so you can issue one at any point in a long hire.

Customer records

Every customer has their orders, what they still hold and what they owe in one place.

Where it went

Record the delivery address on each order, so you know where every piece is.

Overdue list

Set an expected return date and anything late appears on your dashboard with the customer’s phone number.

Worked example: six armchairs on a long hire

An office hires six armchairs from 1 March at £25.00 per chair per month. Two are returned on 20 June and four are kept until 12 September. A started month counts as a full month, and each batch pays for its own months:

Start with a Furniture Hire catalog

While your catalog is empty, choose “Use a template” on the Items screen and pick Furniture Hire. These items load in with rough rates and replacement costs for you to rename and re-price.

Frequently asked questions

Does it work for monthly rentals?

Yes. Set each item’s rate per month and every started 30 days is charged as a full month — 112 days is 4 months. You can also set a minimum hire period.

Can I bill a long hire part-way through?

Yes. For items still out, the invoice is calculated up to today, so you can issue one at any point and again later.

Does it send recurring invoices automatically?

Not today. Each order has its own invoice, which you generate when you need it.

How do I record damage on return?

Mark the piece damaged or lost. The charge is pre-filled from the item’s replacement cost, the piece leaves your available stock, and the event stays on the order with its date.

Can I keep track of where each piece is?

You can see which customer and order holds each piece, and record a delivery address on every order.

Is it really free?

Yes. Sign in with Google and use the whole system — unlimited items, customers and orders — with no card and no trial countdown. Early users keep free access.
