Where scaffold hire goes wrong
Thousands of parts, no clear count
Frames, boards, braces and props go out in hundreds. When a contractor says everything has been returned, you need a count to check it against, not a recollection.
Contractors return in phases
A scaffold is struck in stages. Forty frames come back when phase one finishes and the rest stay until the job ends. Every batch has its own end date, and so its own charge.
Bent, split and missing components
Bent props, split boards and missing couplers are routine. With a replacement cost on each item, a dispute becomes a line on the invoice.
Weekly rates and part-weeks
Scaffold and propping hire is commonly priced by the week, with a part-week charged in full. Working that out for every returned batch by hand is slow and easy to get wrong.

Weekly rates, part-weeks in full
Price each item per week and every started week is charged as a full week. Daily and monthly rates are there too, with a minimum hire period if you need one.
Returns in batches
Record returns as the scaffold is struck. Each batch is billed from the day it went out to the day it came back.
Missing and damaged components
Mark items broken or lost at return, with replacement cost pre-filled from the item. Written-off stock leaves your available count.
Who holds what
See which customers are holding each item and how many, so “where are our boards?” has an answer.
Haulage and collection charges
Delivery, collection, carting and labour sit on the invoice as their own lines.
A site address on every order
Record where the equipment went. A contractor with three sites gets three orders, so you can see what each site holds.
Overdue list
Set an expected return date on an order and it appears on your dashboard, with the customer’s phone number, the day it passes.
Worked example: 100 scaffold frames on a site
A contractor hires 100 five-foot scaffold frames from 1 June at £3.00 per frame per week. Forty come back on 15 June and sixty stay until 29 June. Each batch is charged for its own weeks, and a part-week counts as a full week:

Frequently asked questions
Does it work for weekly hire?
Yes. Set each item’s rate per week and every started week is charged in full — 15 days is 3 weeks, 29 days is 5 weeks. You can also set a minimum hire period.
Can I see what each contractor is holding?
Yes. Stock shows, for each item, which customers currently hold it and how many. Each customer’s page lists their orders and anything still out.
What if a contractor has several sites?
Raise a separate order for each site and record the site address on it. You can then see exactly what each site holds and bill each one separately.
How do I charge for missing couplers and bent props?
Mark them broken or lost when they come back. The charge is pre-filled from the item’s replacement cost, and the units come out of your available stock.
Can I charge haulage?
Yes. Delivery, collection and carting are extra charge lines on the order and appear separately on the invoice.
